Birdlife is hiring a Finance & Administration Officer
BirdLife International is seeking to recruit an enthusiastic and experienced individual for the position of Finance and Administration Officer. The main responsibility will be to ensure effective finance and administration management for the BirdLife team and office in support of the successful implementation of the Forest programme projects, especially the EU funded PAPFor ‘Conservation of the Gola Forest Landscape’ project and other related projects and programmes.
Responsibilities:
Financial Accounting/Financial Procedures
  • Preparation of monthly accounts for project expenditures and ensure their timely submission the Finance Coordinator
  • Ensure effective and efficient filing of finance and administration documents in compliance with donor requirements and BirdLife procedures
  • Preparation of  donor financial report
  • Preparation of payment requests for the project
  • Preparation of financial monitoring reports for project team
  • Review of the partners financial report and compiling them to the donor report
  • Provide training on donor requirements to  project staff and partners
  • Ensure both staff and partners follow donor requirements of the grant
  • Processing expense claims for project team  and ensuring salaries and emoluments are done on time
  • Assist in preparation of budgets
  • Support external audit process of the project.

Administrative Support

  • Provide Monitoring and Evaluation support to projects, including following up on monthly briefs from project partners
  • Deal with logistics and procurements and ensure smooth administrative functioning of the project.
  • Provide administrative support to BirdLife field staff, visitors, and members of the BirdLife Africa network (or other NGOs) as appropriate
  • Support the organisation of events: conferences, workshops and meetings
  • Co-ordinate travel arrangements and related matters for project staff
  • Support tother Organisations affiliated to BirdLife with co-ordination of events and workshops as may be requested from time to time
  • Support with all personnel issues for the project , i.e. recruitment, induction, staff training, medical insurance, pensions,  contracts preparations, work permits for expatriate staff, staff handbook  and ensure they are  up to date
  • Ensure deduction of taxes and other requisite benefits and payment made to the relevant government departments on time
  • Maintain and update a list of assets of the project

IT Support and Data Bases

  • Provide  IT support within the office and ensure back up is up to date in liaison with all Officers
  • Maintain and update relevant databases

Others:
Any other duties as delegated by the Head of Conservation – Africa

Required skills, experience and qualifications

  • Basic university degree in commerce or finance; CPA, ACCA level 3 or higher
  • In-depth experience with Excel spreadsheets
  • Proven track record
  • Essential: High motivation, desire to achieve; attention to detail, excellent organisational skills, and ability to work thigh standards with tight deadlines. Team worker willing to train and coach grantees
  • Excellent written and oral communication skills
  • Ability to analyse complex problems, and generate creative and pragmatic solutions
  • Flexibility and ability to work independently
  • Computer literacy in all standard Microsoft office applications – especially Excel
  • Oral and written fluency in English. Knowledge of French will be an added advantage
  • Willingness to travel at short notice when required (e.g. for monitoring/ training purposes)

Salary & benefits:
Commensurate with experience and qualifications and in accordance with BirdLife International, Africa Division terms and conditions.
  • Gross monthly salary: EURO 1500 – 1800
  • Length/duration of this position: 3 years
  • Working hours: Full time 40 hours per week
  • Date when the job expected to start: 15 March 2020
